The Department of Nutritional Sciences, Where Science and Food Meet, is focused on advancing a vision for a healthier Texas and world through the study of nutrition and its effects on people’s lives. The department supports a wide range of research and teaching interests and offers multiple programs and tracks for undergraduate and graduate students.
Purpose
The Department of Nutritional Sciences is seeking a detail-oriented, resourceful, and service-driven Administrative Associate to provide day-to-day administrative support to our research and teaching faculty, students and programs
Responsibilities
General Administrative Support
- Serve as the initial point of contact for the department, providing clear, courteous, and professional communication to students, faculty, and visitors. Oversee daily office functions, including supply ordering and equipment maintenance.
- Anticipate departmental needs and proactively offer solutions to streamline workflows and improve service delivery.
Business Operations Support
- Track and reconcile departmental expenses, process reimbursements, while ensuring necessary documentation and approvals. Assist research staff with incentive advance requests and recurring reconciliation processes.
- Process purchase orders, vendor payments, and procurement card transactions in alignment with UT policy. Assist with contracts, collect supporting documentation, and follow up on delayed or undelivered items.
- Process travel for faculty and students, including authorizations, reimbursements, and restricted region approvals. Advise department on travel-related policies and procedures for optimum processing.
Student, Faculty & Community Engagement
- Provide general information to students regarding departmental programs, policies, and procedures.
- Assist with setup, coordination, and day-of support for departmental meetings, events, and conferences as requested.
- Foster a welcoming and inclusive environment for all constituents. Uphold professionalism and confidentiality across all communications. Actively solicit and implement feedback to enhance service quality and operational efficiency.
Other Duties: Perform additional related administrative functions as assigned to support the evolving needs of the department
Required Qualifications
High School degree and 5 years of relevant office experience or bachelor’s degree and 1 year of experience in a related field. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
- Familiarity with higher education systems and University of Texas (UT) policies is a plus
Salary Range
$ 45,000+ depending on experience

Environmental Demands:
