Job Duties

This position’s primary responsibility is to provide administrative assistance to the Chief Executive Officer (CEO) so that he/she can carry out his/her responsibilities to ensure that hospital departments operate within the guidelines of TJC, CMS, Federal and State regulatory standards, and in accordance with DBHDS policies and procedures. This Executive Assistant is responsible for the coordination of the CEO’s Office, the dissemination of hospital, campus, and DBHDS policies, and assisting other departments with requests and questions. Duties include managing the daily activities of the CEO; completing special projects researching and analyzing issues and problems; interpreting established hospital policies; auditing, drafting and revising hospital policies; responding to non-patient information Freedom of Information requests; and, maintaining and disseminating DBHDS Department Instructions. This work is provided with great autonomy using knowledge of hospital and DBHDS policies and procedures. This position also manages/supervises postal services for the hospital. Excellent written and oral communication skills are required.
• Ability to utilize computer and related software programs, including Microsoft Office 365 and Google platforms.
• Demonstrated knowledge of office management and procedures.
• Aptitude to compose correspondence using good grammar skills.
• Strong interpersonal skills and the ability to deal effectively with public officials, executives of public and private agencies, family members of patients, and other stakeholders.
• Ability to initiate, execute, and complete projects with minimal direction and supervision.
• Ability to manage multiple projects simultaneously and function in a stressful environment with frequent interruptions.
• Good time management and organizational skills.
• Ability to research, compose and edit documents, reports, proposal, hospital instructions, policies, etc.

Minimum Qualifications

• Computer skills and related software including Microsoft Office 365 and Google platforms required
• Office management and procedures experience required

Additional Considerations

• Associate’s degree or certification in office management or the equivalent combination of education and experience preferred.
• Office management experience in a medical/hospital setting preferred.
