Position Overview & Job Duties:
Perform administrative duties for the President or for a Vice President in large division which may include multiple departments. Functions as an assignment/project researcher who develops, review, analyzes, implements, monitors, reports on internal and environmental aspect that impacts the projects being implemented. Responsible for providing direct oversight via office management including departmental budget management, physical and electronic records management/file oversight, as well as communication from executive. Work requires analysis and use of initiative and independent judgment. Often called upon to interpret and communicate executive intent to other employees. Responsible for managing calendars and appointments, chairing and or planning events and/or meeting. May make contacts of a sensitive, complex, and confidential nature.
- Works closely with the executive leaders for Information Technology.
- Assumes responsibility for projects and oversees such projects through to completion.
- Responsible for scheduling appointments and maintaining the calendars for the CIO office.
- Prepares special or confidential reports for executive leaders for Information Technology and assists with special projects and surveys.
- Prepares correspondence, reports/memos, fax messages, informational flyers, and other outgoing documents.
- Organizes and maintains executive leaders travel calendar and necessary reservations.
- Attends meetings and seminars to take notes and later transcribe into a legible document before dissemination.
- Prepares moderately complex analyses of data.
- Communicates and assists students, faculty and administrators on University technology policy matters.
- Aids in the management of daily operations of the CIO office, which may include supervising support staff and students.
- Greets visitors and screens phones calls, takes messages and/or refers calls to appropriate person. This includes ensuring all visitors whether internal or external to UCO are treated as important guests.
- Assists with budget tracking for the department. May assist in the preparation and maintenance of the departmental budget.
- Manages departmental personnel changes, hiring, and separation. Creates online postings for employment.
- Plans, prepares, and arranges for meetings, special events and special projects.
- Ensures documentation follows best practices, is up-to-date, accurate, and tested.
- Demonstrates the ability to learn new subject matter, coupled with attention to detail and responsiveness to feedback.
- Continually updates skills and knowledge relative to the position and the technology industry.
- Serves as the back-up for executive/administrative assistant and Business Manager positions.
- Performs other related duties as assigned
Qualifications/Experience Required:
Bachelor’s degree in job related field plus 3+ years of work experience or equivalent combination of education and experience.
Qualifications/Experience Preferred:
Experience supporting C-level management. Experience in a higher education environment. Effective communication and public relations skills. Bookkeeping or financial tracking experience.
