Description
Provides administrative and clerical support to the Office Manager in the day to day operations of the department. Provides indirect patient care in the Orthopedic Clinic. Greets and registers patients. Ensures highest level of customer service is provided to the patients and their families. Meets the communication needs of the patient/family, office staff and the medical staff. Participates in performance improvement activities.

Qualifications
- High School graduate or equivalent required
- Some college or business school education preferred
Role and Responsibilities
- Scheduling new evaluations and copying daily schedules for staff.
- Verifies patient demographic and insurance information.
- Maintaining patient files.
- Copying and faxing reports, progress notes, etc. to physicians, insurance carriers , nurse liaisons and others as per practice and as needed.
- Maintaining office supplies, documentation, stock and clinic inventory; performs inventory tasks as required.
- Maintaining logs i.e. patients treated; patient related phone calls; medical record requests; insurance/patient accounting requests, etc.
- Typing required documentation, reports, minutes, correspondence, policies and procedures and other data as assigned.
- Obtaining required patient signatures and obtaining pre-authorization for on all workers’ comp.
- Assists in obtains pre-certifications for patients when necessary.
- Ensures that patient charts are updated and filed appropriately each day. All next day patient charts are pulled in a timely manner. Purge older files as necessary.
- Answers telephone in a timely and polite manner; routes calls appropriately; takes messages.
- Assists with the completion of disability forms.
- Demonstrates knowledge of computer system.
- Performs other duties as assigned
Professional Requirements
- Attends Mandatory Meetings held within the department.
- Adjust work hours/schedule to meet the demands of the department and hospital.
- Aware of all Emergency Disaster Plans and how to respond if an Disaster occurs.
- Participates in educational programs and fulfillment of departmental requirements relating to house-wide mandatory in-services such as CPR, fire and safety and infection control.
- Works effectively with others, demonstrates leadership and teaching ability and the ability to work under pressure.
- Appreciation of and desire to be part of a health care team dedicated to providing patients optimal care.
- Meets dress code standards; appearance is neat and clean.
- Completes annual educational requirements.
- Maintains regulatory requirements.
- Maintains patient confidentiality at all times.
- Wears identification while on duty; uses computerized punch time system correctly.
- Reports to work on time and as scheduled, completes work within designated time.
- Completes inservices and returns in a timely fashion.
- Attends mandatory staff meetings; reads and returns all monthly staff meeting minutes.
- Represents the organization in a positive and professional manner.
- Actively participates in performance improvement and continuous quality improvement (CQI) activities.
- Complies with all organizational policies regarding ethical business practices.
- Communicates the mission, ethics and goals of the office/clinic.
Knowledge, Skills and Abilities:
- Hospital office or admitting experience preferred
- Proficient in the use of standard office equipment
- Basic clerical office practices and procedures, basic computer and Microsoft office software required
