We aim to be the primary service provider for the people and entities responsible for the care, movement, and long-term preservation of art and culture.

To that end, our Collections Manager is responsible for understanding and managing inventory within the warehouse and AIMS, assisting with receiving and releasing of items, maintaining data integrity across various collections and facilities, and providing support to collection management consultations and/or services to top tier client storage accounts. In addition, candidates should have an extensive knowledge of Art Handling and Account Management policies and procedures, in addition to industry best practices related to collection inventory management. 

RESPONSIBILITIES

  • Serve as main point of contact for multiple clients across the greater LA area, while ensuring the client satisfaction and growth of the account

  • Refining and implementing standards to support continuous improvement 

  • Assist in the development of Account Plans, the planning Quarterly Business Reviews and perform various account and project management duties related to collections care or inventory services 

  • Oversee a range of related service projects, from supporting clients with day-to-day inventory management needs, providing support on complex, large-scale and International projects. 

  • Provide support to facility relocation projects to ensure successful delivery

  • Moderate AIMS database entries/ updates: inventory creation, collection management support, generate internal paperwork / operational Work Orders, and quality control of inventory for accuracy. 

  • Communicate regularly with Operations Managers and Regional Manager of Account Management regarding any changes in project scopes, and develop solutions to meet customer needs. 

  • Collect data and information to distribute Monthly Storage Report - including, but not limited to l storage spaces conditions, temperatures, condition of packed crates, and storage practices for key accounts 

  • Ensure all documentation (i.e. estimates, work orders and invoices) is clear depict events in  chronological order 

  • Track storage client accounts statuses, working to resolve billing issues and mitigate bad debt through collaborative efforts and implementing protective measures.

QUALIFICATIONS

  • 3-5 years experience managing archives, library collections, and / or cultural heritage collections. 

  • Experience in Project Management, Inventory Management, and / or Database Administration is preferred, but not required

  • Experience in preventative conservation, including strong understanding of best practices is desirable 

  • Skills - Client-focused communication, both verbal and written; strong attention to detail; time management/deadline management; solutions driven; and work collaboratively with multiple individuals and groups across the organization
