As we continue to expand, we are investing in our People Operations team, who are at the heart of making Klaviyo a great place to work. 

To support our growth and expansion internationally, we are looking for a Sr People Operations Specialist to join our team.  This role is central to providing exceptional operational support across the EMEA region, ensuring employees and people leaders receive timely, accurate, and empathetic guidance throughout the employee lifecycle. 

How You'll Make a Difference

Employee Experience:

  • Support employee lifecycle events, including onboarding, flexible work arrangements, return-to-work and phased return plans
  • Responsible for HR policies in the EMEA region and answering employee queries on them
  • Ensure compliance against local legislation with support from HRBP’s 
  • Support key activities that are part of the employee lifecycle, from onboarding to exit 
  • Handle right-to-work issues and support immigration processes where required, particularly where the company is a license holder

Operational Support:

  • Maintain and enhance self-service tools (e.g., FAQs, how-to guides) to drive people leader and employee empowerment and self-sufficiency
  • Continually contribute to delivering the best user experience for our employees 
  • Identify employee inquiry trends to determine areas for process improvement or automation
  • Implement AI-assisted tools to compile, validate, and visualize People metrics across regions

Compliance & Policy Management:

  • Conduct biannual HR policy audits and identify updates based on regulatory or business changes
  • Manage and oversee all required data requests for the region
  • Monitor and manage compliance around statutory leave limits, immigration processes, and right-to-work requirements

Projects & Continuous Improvement:

  • Transform workflows by putting AI at the centre, building smarter systems and ways of working from the ground up.
  • Contribute to regional and global HR programs and projects within the People team
  • Experiment with and adopt emerging AI technologies to automate routine tasks and uncover new efficiencies within People Operations
  • Collaborate cross-functionally with other HR teams (e.g., HRBPs, Benefits, Talent Acquisition, Payroll, Legal) to ensure seamless employee support

Who You Are:

  • Strong understanding of employment practices across multiple EMEA countries, with specific experience supporting Germany
  • Comfortable working in a global organisation reporting directly to your manager in the US whilst also partnering closely with the wider People Operations team in the US & EMEA
  • You’ve already experimented with AI in work or personal projects, and you’re excited to dive in and learn fast. You’re hungry to responsibly explore new AI tools and workflows, finding ways to make your work smarter and more efficient.
  • Experience with HR systems (Workday preferred) and external vendor management
  • Skilled at balancing multiple priorities while driving process and operational improvements
  • Detail-oriented, analytical, and comfortable interpreting employment policies and local regulations
  • Enthusiastic about exploring how AI can elevate the employee experience and optimize People Operations

Nice to have

  • Experience working in a multinational technology or fast-paced business
  • Experience using G-Suite 
  • Exposure to immigration processes and policy audits

Our salary range reflects the cost of labour in the country where the job post is advertised. The base salary offered for this position is determined by several factors, including the applicant’s job-related skills, relevant experience, education or training, and work location.
