The project coordinator provides essential support to project managers, ensuring projects remain on schedule, meeting procurement standards, and complying with documentation requirements. This role is responsible for managing orders, maintaining accurate records, and assisting with contract and invoice processes to facilitate successful project execution and close-out. This is a Remote position.
As a project coordinator, you will support construction projects through company standards with a focus on time, scope, quality, and cost. Assemble, track, and monitor material and equipment orders to ensure timely delivery. Prepare, organize, and securely store project documentation in both paper and digital formats to meet compliance standards.
Essential Duties and Responsibilities
The duties in this position include the following:
- Tracks project team priorities and ensure alignment with larger goals through all project processes.
- Update and modify project schedules on the project team’s behalf.
- Prepare weekly or monthly project status reports, including schedule updates, procurement status, and key milestones.
- Understand established work/staffing plans for each phase of the project and assist in coordinating with sub-contractors.
- Assists in preparing communication materials and documentation that support change initiatives.
- Set-up meetings for key stakeholders or clients.
- Effectively manage and prioritize a high volume of meetings, communications, commitments, and project duties.
- Track project expenditures, verify invoices against purchase orders, and support budget reconciliation. Maintain cost logs and assist Project Managers with financial reporting.
- Initiate purchase orders.
- Seeking and issuing appropriate legal paperwork such as contracts and terms of the agreement.
- Other duties, as assigned.

- Project Management - Maintain project schedules, action logs, RAID logs, and documentation repositories with accuracy and consistency. Coordinate vendor communication, purchase requests, site visits, and logistics to keep project execution on track. Use project management tools (MS Project, Jira, Trello, Smartsheet, or equivalent) to update tasks, track progress, and support reporting. Ensure project intake documentation is complete and accurate when supporting Portfolio Management.
- Intermediate-advanced computer skills - Proficient in Microsoft Office Suite, especially Excel (pivot tables, charts, basic formulas), Word (templates, formatting), and PowerPoint (clean, professional decks). Comfortable working with project management tools, shared drives, and collaboration tools (Teams, SharePoint).
