The Front Office/Human Resources Coordinator provides administrative support to the Human Resources team and plays a key role in creating a welcoming environment by greeting guests, visitors, and customers during site visits. The role also includes light support for the E-Commerce team, assisting with order entry and related tasks as needed. In addition, this position helps ensure smooth office operations by keeping breakrooms stocked, sorting mail, and supporting general office upkeep. This is a dynamic, customer-facing role that combines internal team support with external service.


Hours: 8:00 am - 5:00 pm

Schedule: Monday - Friday

Location: Westlake, OH

Core Responsibilities:

  • Greets and directs visitors, including vendors, clients, job candidates and customers ensuring accurate sign in/out, identification in a professional, courteous, and friendly manner.
  • Creates and tracks badges for all temporary and full-time employees.
  • Orders employee uniforms and assign lockers with Uniform company.
  • Operates a multi-line telephone system to receive incoming phone calls and directs callers to appropriate extensions. Receives and takes adequate messages when required. Maintain and distribute updated company directory as needed.
  • Maintains the availability of conference rooms in Microsoft Outlook and assists in preparing/coordinating meeting spaces and conference calls. Coordinates refreshments and/or catering for events as directed.
  • Sorts, distributes and processes incoming and outgoing mail and maintain shipping supplies. Tracks daily UPS shipment of lab samples for National Accounts and send delivery confirmations to account managers.
  • Maintains office and breakroom inventory, including but not limited to beverage supplies, office supplies, business cards, etc. Reconciles invoices for breakroom supplies.
  • Oversees special employee recognition events.
  • Assists human resources with tracking employment applications, and other special administrative tasks.
  • Performs other duties as reasonably assigned.
  • Consistently adheres to established standards to ensure confidentiality and compliance of state and federal regulations.
  • Consistently follows established safety policies and procedures.
  • Adheres to policies and procedures as outlined in the Employee Handbook
  • Attends and actively participates in required huddles, meetings, and trainings.
  • Maintains professional appearance to promote a positive image of the organization to partnering agencies and the community.
  • Adheres to all food safety and GMP policies
  • Supports the mission, values and vision of the company.
  • Maintains the best interest of Lyons Magnus first and foremost.
  • Work with employees of Lyons Magnus in a positive and constructive manner to maintain a professional relationship. Demonstrates courtesy, discretion, friendliness and diplomacy.

Requirements


Knowledge, Skills and Abilities:

  • Must be able to exhibit discretion while working with confidential and sensitive information
  • Standard office practices and procedures, including Microsoft Office Suite, databases, filing systems and records management.
  • Ability to work independently with minimal supervision and discretion.
  • Develop and maintain effective interpersonal relationships.
  • Use good judgement and integrity.
  • Bilingual – English/Spanish preferred

Education and/or Experience:

  • High school or equivalent. Completion of two (2) years of college preferred.
  • Two (2) years of related work experience.
