About the role

This is a remote position.

Schedule:


21 hours per week:

  • Monday to Friday: Strictly 7:00 PM – 10:00 PM EST (non-negotiable)

  • Saturday and Sunday: Preferred 7:00 PM – 10:00 PM EST, but slight adjustments can be accommodated if needed


Job Description:

Responsibilities


  • Take the lead on building SOPs from the ground up (especially for sales pipeline, metrics, lead flow, and backend systems)

  • Automate and streamline internal and external communications—from appointment flows to lead follow-ups and team reminders

  • Create and manage high-level calendar, task management, and operational workflows

  • Track and analyze performance data, ideally with fluency in advanced Excel/Google Sheets

  • Work cross-platform—comfortable bridging tools like spreadsheets, CRMs, scheduling platforms, internal comms, and custom dashboards

  • Bring initiative and critical thinking to systems that don’t yet exist but are essential to implement

  • Assist with daily calendar management, task scheduling, and email correspondence.

  • Coordinate travel logistics and arrangements.

  • Conduct online research and compile email summaries based on findings.

  • Attend executive meetings, ensuring accurate minute-taking, note compilation, and action point tracking.

  • Prioritize tasks for various teams, monitor progress, and provide regular updates to senior management.

  • Assist with expense reconciliation, financial tracking, and bank account oversight.

  • Handle office administrative tasks as directed and as necessary.

  • Manage and organize internal documents, promotional materials, and digital folder structures.

  • Act as a liaison between the executive and other departments, ensuring smooth communication and prompt resolution of requests and queries.



Requirements



  • Exceptional attention to detail and organizational capabilities.

  • Outstanding written and verbal communication proficiency.

  • A minimum of three years of experience in an executive assistant role.

  • Proficiency in MS Office Suite, especially Excel and Outlook.

  • Ability to adapt and thrive in a fast-paced environment.
