The OTG Badging Coordinator has the overall responsibilities of administering the application and verification documents necessary to satisfy the Port Authority requirements for an airport badge in a timely manner. Interfaces with the Port Authority, the employee, the airport management, and the HR department and keeps track of and communicates on the badge status. Follows up to facilitate processing as needed. Ensures internal tracking process is recorded.
Who you are…
Schedules all private EWR Security classes for all newly hired crewmembers and Managers for EWR (approximately 450+ a year)
Provides oral and written instruction to newly-hired crewmembers and Managers regarding SIDA and fingerprinting process, including personal identification requirements
Communicates clearly for each newly-hired crewmember or Manager regarding the steps required on the Port Authority fingerprinting application
Travels to the Port Authority Administration Building as Issuing Officer related duties require
Records and maintains accurate badge data for the Port Authority quarterly audits
Ensures that all OTG issued security badges are returned to the Port Authority at the point a crewmember and Manager resigns or is involuntarily terminated
Responds to all Port Authority notifications regarding (BOR) Breach of Rules/Violation for OTG crewmembers and Managers
Acts as a liaison between OTG Management and the Port Authority stakeholders regarding security related policies and procedures
Tracks and communicates the progression of newly hired crewmembers and Managers through the badging process and reporting their status to the EWR Management team on a weekly basis (EWR Badging Master)
Communicates "badge ready" notifications to all Managers and TLs, and prepares "badge ready" letters
Notifies HR of issues and expiration dates of all new badges to ensure tracking data in HRB
Qualifications and Requirements:
Strong written and oral communication skills
Extremely detail-oriented
1 to 2 years experience in administrative duties
Able to effectively manage multiple priorities in a fast-paced environment • Sound decision-making skills
Able to plan and prioritize
Excellent follow-up and tracking skills
Excellent MS Excel skills
Impeccable internal and external customer services skills
Must be able to work varied hours/days, nights, weekends, holidays, and during inclement weather
