JOB SUMMARY
Assist project managers and other staff members with administrative duties, such as documentation management, including filing and logs; contract and/or subcontract review; corrections and management; and preparation of bid documents.
MINIMUM QUALIFICATIONS- Requires knowledge of office procedures and word processing software at a level generally acquired through completion of an associate degree in a business or office-related discipline
- 3 years experience providing administrative support.
- Previous construction-related environment experience
- Requires strong organizational skills and continual attention to detail in composing, typing, and proofing material.

Ability to prioritize and complete multiple projects in a timely manner.

Must have high level of interpersonal skills to handle sensitive situations.

Requires advanced skills and knowledge of Microsoft Office applications, including Word, Excel and PowerPoint.

Good punctuation, spelling, and grammar skills are critical.

Requires a positive attitude with internal and external customers. Contribute to a team-oriented work environment.

Must be able to maintain confidentiality.
- Assist with contract and/or subcontract review, corrections and management.
- Assist with preparation of bid documents.
- Assist with documentation management, including filing, scanning and maintaining any necessary logs.
- General job set-up and updates in payroll and accounting system.
- Compose and/or edit letters, memos, reports, procedures, etc., as required.
- Act as liaison between own group/supervisor and others, such as other departments, external contacts, clients, etc. Such liaison may be required to arrange meetings, clarify and resolve problems, coordinate work, maintain working relationship and public relations, etc.
- Oversee and/or process day-to-day administrative items (i.e. expense reports, supply requisitions, personnel transaction forms, operating budgets, etc.) per supervisor’s authorization.
- Prepare special reports, studies, statistical analysis, brochures, etc. per supervisor’s request. Such items would usually require research, development and/or interpretation of data and be performed with little supervision or instruction.
- Request utility locates for assigned territory/job sites via appropriate internet based One-Call system. Use Google maps and/or other maps to determine exact location needing utility locates.
- Work with foremen to coordinate/perform locate procedures for all crews from initial contact with one call facility through notification of one call facility and appropriate utility in the event of damage.
- Perform additional duties as assigned.
