Position Summary

Manage logistical aspects of all on-campus standardized testing, both digital and paper-based.

 

Essential Duties and Responsibilities 

  • Logistical Coordination
  • Order all standardized tests given in Upper, Middle, and Lower School
  • Coordinate with student services staff to ensure all appropriate students receive testing accommodations
  • Coordinate with appropriate staff, including the Business Office, to ensure appropriate invoicing for AP exams.
  • Schedule testing rooms 
  • Hire/train proctors
  • Organize and securely maintain all testing materials
  • Set up testing rooms
  • Ensure technological success: microphones, clocks, wireless boosters, backup devices, extension cords, power banks, and IT staff on call.
  • Maintain knowledge of and adhere to all standardized testing agency guidelines.
  • As needed, assist as a proctor for on-site special testing (ACT, SAT)
  • Provide testing data to the Upper School Academic Dean or other academic offices as requested for analysis.
  • Additional duties as assigned.

Qualifications

Education and Experience

  • Bachelor's degree in a related field
  • 3-5 years of experience in educational administration, event coordination, or a similar logistical management role. Specific experience with standardized testing environments (ACT, SAT, AP exams, CTP/ERB) is highly desirable.

Per the College Board: An individual cannot serve as a test coordinator in the year an immediate family or household member may be taking a College Board test (PSAT, SAT, AP exam) at the school where the coordinator works or at any other school. Immediate family includes one’s parents, siblings, children, grandparents, and spouse. This applies even if they don’t reside in the same household. A test coordinator cannot be employed part-time or full-time at a test preparation company or participate in any coaching activity that addresses the content of secure College Board tests.

  • Time management: Proven ability to meet deadlines and manage a demanding schedule, often with tight turnarounds.
  • Attention to detail: Critical for ensuring compliance with testing agency guidelines; preventing errors in room setup, materials, and technology; and working with families to resolve testing conflicts or outline options for use of testing accommodations.
  • Problem-solving: Aptitude for quickly identifying and resolving unexpected issues that may arise during testing, such as technological glitches or proctoring needs.
