The Position
The Supervisor, Executive Administration provides direct support to the President & CEO, board of directors (BOD), committees and senior leadership of Mid-America Transplant (MT). This role manages the team of administrative assistants for the organization. This role aligns messaging with the brand values and standards of MT across multiple platforms externally and internally. Additionally, this role will coordinate MT and BOD events and meetings.
What You’ll Do
Administrative Responsibilities
- Provide support for the President & CEO to further efficiency and promote the achievements of the organizational mission and objectives. This includes:
- Managing and maintaining schedules and appointments for CEO
- Overseeing arrangements for travel and offsite meetings
- Preparing presentations
- Completing word processing, spreadsheets, slides, and database assignments
- Preparing and editing correspondence
- Provide support for the Board of Directors
- Arranging meeting details and logistics for all Mid-America Transplant Board of Directors, Foundation Board of Directors, and board committees
- Ensure governance processes, meeting minutes, and documentation are maintained in electronic board portal
- Arrange and coordinate various meetings, staff meetings & events, conference calls, and additional events for CEO and Executives.
- Provide oversight of employee service anniversary recognition programs.
- Maintain employee swag store items to brand standards.
- Serve as an escalation point for follow-up to ensure customer complaints are resolved.
Workforce Management
- Provide day-to-day supervision of assigned staff, partner in the selection, training, and development of team members to retain a motivated, engaged, and professional workforce.
- Oversight for the team, including developing schedules for the front desk and office coverage, assigning and monitoring work, resolving operational problems, and implementing new procedures.
- Oversee the team’s workflow through defined goals, communicating objectives, and monitoring team performance.
External Vendor Relationships
- Coordinate third-party support for MT initiatives and projects.
- Manage and maintain MT external facing public website, conduct annual review of content and make appropriate edits with input from senior leadership and vendors.
- Ensure brand standards are followed by all third-party support representatives.
What You’ll Bring
- Associate degree or equivalent work experience required
- 4+ years of experience supporting executive management required
- Extensive Microsoft office experience, specifically with PowerPoint
- Exceptional communication abilities, including writing, speaking and active listening.
- Ability to manage multiple priorities with flexibility and demonstrated organization.
