Job SummaryThe Associate Director of Applicant Engagement at Thomas Jefferson University provides strategic leadership and management in the recruitment of first-year, transfer, graduate, and international students by developing and executing customer service plans designed to convert students through each stage of the enrollment funnel. In addition, the Associate Director will oversee the East Falls Campus Admissions Visit Center. The Associate Director will collaborate extensively with colleagues within enrollment management, our internal administrative and academic partners, and our external network of vendors and service providers.Essential Functions Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson. In-Bound Communication: develop and manage a centralized customer contact center for Jefferson. Enrollment Management (Admissions and New Student Financial Aid) with the goal of ensuring clear and consistent methods of contacting Jefferson; ensure that responses are timely, accurate, and reflective of Jeffersons high customer service standards. Call Campaigns: develop and execute a customer service-oriented strategy for qualifying leads, communicating with prospective students, cultivating strong applicant relationships, and tracking recruitment performance from inquiry through to enrollment. Ambassador Program Management: advance Jeffersons use of student ambassadors by providing leadership, mentorship, and fostering a community that produces high-quality interactions; the caliber of the student ambassador program will support professional development of current Jefferson students. Develop engaging training and evaluation programs and a forum for positive interactions with student leaders. CRM (Slate by Technolutions): utilize Slate Inbox, Content Blocks, Rules, Events, Scheduler, and Forms on a regular basis. Develop queries and reports to monitor campaign and event performance. Stay up-to-date on Slate enhancements and new features as continuous learning and platform curiosity is required. Admissions Visit Center Management: oversee the teams effort to design a Visit Center experience that is reflective of the Jefferson brand and high customer service standards. Asset Development Management: develop and manage assets in collaboration with key strategy partners that will be used to generate demand for the Universitys academic programs (website, print, email, digital, video, etc.). Ensure that Jefferson Enrollment Management efforts promote and protect the Jefferson brand. Reporting Analysis: create dashboards and monitoring reports; produce ad-hoc analyses. Utilize data to track results and course correct as needed. Staff Management: directly manage employees as assigned and/or support department leadership in the oversight and mentorship of staff members within the team; serve as the point of contact in the absence of department leadership. Strategy Engagement Team Responsibilities: the incumbent will contribute to efforts related to department planning, policy procedure development, quality assurance effectiveness, and budget team management.Minimum Education and Experience Requirements:Education: Bachelors degree required, masters degree in Communications, MBA, Marketing, Organizational Leadership/Development or Higher Education Leadership/Administration is strongly preferredANDExperience: 5+ years of professional experience 3+ years of management/leadership experience is required Experience in an undergraduate and/or graduate admissions office is strongly preferred Experience using Slate by Technolutions experience is requiredAdditional Information Experience using the Microsoft Office Suite (Word, Excel, Outlook, Teams) is requiredCompetencies (Knowledge, Skills, and Abilities Required): Technical Background: Slate by Technolutions CRM experience (with advanced configurable joins experience, query and report building) is required, experience utilizing and building reports in contact center software is required Client Services: the incumbent will interact and collaborate on a daily basis with University senior leaders, academic deans, academic program directors, administrative partners, prospective students, high school and community college counselors, and a wide range of external service vendors.
