We are looking for an Executive Assistant to support three (3) to four (4) executives across the organization, including planning and supporting team off-sites and other internal company events. The Executive Assistant plays a crucial role in ensuring the seamless operation of the executive team. This position requires a highly organized individual with the ability to manage multiple tasks efficiently and proactively implement thoughtful themes to optimize executive schedules and serve as a proactive partner to the executive team.

What you’ll do:

  • Efficiently manage executives' calendars, scheduling and coordinating meetings, appointments, and events. Ensure optimal use of executives’ time by prioritizing and organizing tasks effectively. Implement themes to their schedules to ensure focused time blocks for various initiatives.
  • Schedule, prepare, and manage logistics for internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Support the planning and execution of team offsite events, ensuring all logistics are handled smoothly and efficiently, adhering to budget guidelines.
  • Plan and coordinate detailed travel itineraries, including flights, accommodations, transportation, and travel documentation. Manage changes and ensure executives’ travel experiences are seamless.
  • Serve as the primary point of contact for internal and external stakeholders. Manage and screen emails, phone calls, and correspondence, ensuring timely and appropriate responses.
  • Prepare, edit, and proofread documents, presentations, and reports. Ensure all materials are accurate, professional, and aligned with organizational standards.
  • Track and manage executives’ expenses, prepare expense reports, and ensure timely submission and reimbursement.
  • Assist with various special projects as needed, demonstrating flexibility and adaptability in a dynamic environment.
  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Be prepared to travel up to 10%, typically once per quarter, to support executives during offsite events and other engagements.

 

If you have some or all of the following, please apply:

  • Proven experience (4 - 6 years) as an Executive Assistant or similar role, supporting high-level executives. Experience in a fast-paced, high-growth environment is preferred.
  • Proven track record of successful project management or event management
  • Proficient with Microsoft Office Suite or related software, as well as Google SuiteExcellent verbal and written communication skills. 
  • Excellent verbal and written communication skills, with the ability to interact professionally with executives, team members, and external stakeholders.
  • High level of accuracy and attention to detail in all aspects of work.
  • Strong problem-solving skills and the ability to think proactively and independently.
  • Demonstrated ability to navigate ambiguity and make decisions
  • Exceptional organizational and time-management skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Demonstrated ability to handle confidential information with discretion and maintain a high level of integrity.
  • Willingness to adapt to changing priorities and work in a dynamic, fast-paced environment.
