How You’ll Contribute

The Advancement team cultivates, solicits, and stewards individuals, as well as foundation, government and corporate partners who invest in the Society to drive impact through science, technology, education, exploration, and storytelling. The team collaborates with Society teams – and often works closely with Disney – to build transformative and impact-driven strategic partnerships. The team also produces global events that deepen connections and leverage the Society’s power to convene, and directs robust annual, major and planned giving programs empowering the Society with a broad base of public support.

The Coordinator provides administrative support for the Vice President, Leadership Giving, as well as critical support throughout the fundraising cycle–from cultivation and solicitation to stewardship. The Specialist, Leadership Giving also supports the day-to-day benefits fulfillment for Leadership Giving recognition societies.

Your Impact

Responsibilities Include:

Administrative Support (60%):  

  • Assisting in the scheduling of internal and external meetings for the Vice President, Leadership Giving.

  • Booking travel and completing travel and expense reports for the Vice President, Leadership Giving.

  • Coordinating with the Special Assistant to the CEO, Executive Assistant to the Chief Advancement Officer and Coordinator for the Deputy to the Chief Advancement Officer & Campaign Director, as appropriate.

  • Drafting and proofreading correspondence.

  • Corresponding with donors and their teams as appropriate.

  • Attending Leadership Giving team meetings and maintaining scheduling and follow up.

  • Updating and tracking the Vice President, Leadership Giving’s portfolio activity in Raiser’s Edge database.

  • Ensuring that our digital files are up-to-date and easily accessible.

Administrative and Operational Coordination (40%):

  • Coordinating the production of solicitations and proposals for the Vice President, Leadership Giving.

  • Compiling and distributing executive briefing materials ahead of donor and prospect meetings for the Vice President, Leadership Giving.

  • Support the Vice President, Leadership Giving and the Director, Major Gifts on the day-to-day of the Groundbreaker level of benefaction ($10,000+), Clark Council ($25,000+) and Hubbard Council ($50,000+). This includes onboarding activities for new members and updating solicitation resources, etc.

  • Work with the Director, Major Gifts to maintain accurate tracking of current and lapsed Leadership Giving members. 

  • Supporting donor events, as necessary.

What You’ll Bring

Educational Background

Bachelor’s degree preferred.

Minimum Years and Type of Experience

2+ years professional work experience; past Advancement experience preferred.

Necessary Knowledge and Skills

  • Proactive and professional demeanor when interacting with NGS staff, senior executives, high net worth individuals, and donors.

  • Excellent written and strong oral communication skills are necessary with a demonstrated ability to write effectively for business/philanthropic communication purposes.

  • Strong computer skills including Microsoft Office, G-Suites, and video conferencing platforms like Zoom and Google Meet. 

  • Capable of managing multiple projects simultaneously with a high level of attention to detail.

  • Ability to maintain high standards of confidentiality and work comfortably in a fast-paced environment.

Desired Qualifications

  • Proficiency with Raiser’s Edge or other similar database system strongly preferred.
