JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Service Assistant 2 effectively and efficiently receives materials and supplies from vendors, accurately picks and packs orders, and distributes orders to end users across campus. This position also provides campus-wide customer service and support for orders, troubleshoots overages, shortages, and damages, and is the first line in identifying any billing error.
- Prepares and prioritizes a delivery route sheet for morning and afternoon deliveries daily.
- Delivers timely requested supplies to various locations across campus.
- Utilizes the inventory management system to process, organize, correctly label, and store goods received from vendors.
- Obtains signature of receipt on all applicable paperwork, records time of delivery, and records recipient ID number for entry in inventory management system.
- Scans, saves, and uploads route delivery sheet and completed purchase order folders to General Stores SharePoint site.
- Collects IT equipment from HSC Hub, and delivers to ITS, or to end users on campus; obtains and reviews itemized list, signs, dates and returns to General Stores and ITS.
- Monitors supply requisitions in the inventory management system for requests of stocked items; identifies, picks, and appropriately packages supplies for delivery/pickup.
- Participates in fiscal year-end inventory.
- Stores packing lists, invoices, etc., in the purchase order folder, and returns to filing cabinet until all line items have been received.
- Receives and verifies goods delivered by UPS, FedEx, or other carriers.
- Answers incoming phone calls; assists customers with questions; escalates issues as needed.
- Performs other duties as necessary.
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of warehouse shipping and receiving experience. Must have a valid Driver’s License.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to determine efficient and effective methods to distribute supplies to various locations across campus.
- Ability to work independently and as part of a team.
- Knowledge and skills in using a computer, printer/scanner/copier, email, and the ability to perform data entry.
- Ability to operate a pallet jack, to lift, push, pull, and carry ≥75lbs.
- Ability to stand or walk for extended periods, stoop, kneel, crouch, and reach above one's head.
- Ability to operate a delivery vehicle.
- Ability to communicate professionally with coworkers, staff, students, and faculty.
