Position Description: Project Assistants (PAs) provide customer service, operations support, and marketing for the department of Student Engagement & Activities (SEA).
Project Assistants work in a team and perform their duties both individually and collaboratively.
Under the supervision of SEA professional staff, the Project Assistants (PA) Chair will lead the PAs to support student organizations and clubs with event supplies, information, and poster printing. The Chair will assist with managing office supplies and equipment, overseeing the department inventory, collecting and entering data, leading marketing and tabling efforts, maintaning social media and website, doing occasional presentations about getting involved on campus, and performing general office work. The PAs also help manage the ILO shared office space, staff the ILO front desk, and oversee multiple storage areas.
Project Assistants gain valuable job skills, including project management, teamwork, web editing, social media management, marketing, budgeting, customer service, time management, and more.
Project Assistants who apply for a second or third year of employment may gain additional marketable skills, including leadership, meeting facilitation, office management, and more.
Student Engagement & Activities (SEA) - Duties & Responsibilities:
- Contribute respectfully to the diverse and inclusive work environment at UWB and the Student Engagement & Activities (SEA) department
- Perform outreach to students about SEA programs, events, and services to promote student involvement, and provide current information about campus resources
- Maintain shared workspace with other student leaders, including supplies management, rotating cleaning and organizational duties, prompt reporting of issues, etc.
- Maintain active, timely communication with advisor(s)/supervisor and team
- Connect with the UW Bothell student body to find out what different students want and/or need
- Maintain documents and folders in a shared digital filing system, on the student engagement platform, social media, and other technology assigned by the department
- Perform clerical duties including documenting and updating processes, data entry, maintaining work calendars, and scheduling meetings
- Support and staff SEA events and operations as needed. This includes but is not limited to: New Student Orientation, Welcome Week, SEA org support, and large-scale campus events
- Represent the SEA department at events and as requested by supervisor
- Support the recruitment of future student leaders during hiring processes
Role-specific duties
- Lead PAs through daily and yearly tasks
- Assist with setting up team meetings
- Support and assist all SEA organizations’ work (Campus Events Board, Club Council, Student Media)
- Provide information about SEA and related programs, events, and services to students
- Utilize social media to connect with students
- Publicize and staff student events as determined by supervisor
- Assist with development and publishing of website content for SEA department and student organization
- Promote student involvement:
- Develop and execute quarterly social media campaign
- Propose, develop, and manage distribution of SEA promotional materials (swag, flyers)
- Maintain updated, accurate digital event calendars
- Support marketing for all SEA organizations
- Perform office management duties, such as: update job manuals and how-to guides, research and order supplies, receive shipments, process invoices, manage office cleaning schedule, staff front desk, and respond to general inquiries
- Organize end-of-quarter celebrations for SEA student leaders
- Respond to and incorporate feedback from supervisor and peers
- Collaborate and coordinate with other SEA orgs and campus partners
- Participate in budget tracking and co-managing organization’s finances
- Evaluate and improve the effectiveness of your work
- Develop, distribute, and analyze assessments for programs, events, and initiatives
- Reflect on your job performance, make adjustments and build skills as needed
- Assist with projects and tasks as assigned by their supervisor
