Position Summary
The Financial Operations Assistant's primary roles will be:

  • Accounts Payable – Assists with processing all payments handled by Achieva Finance using the MIP accounting system.
  • Payroll - Process all payroll with the Paycom system

Key Responsibilities

  1. Accounts Payable:
    • Maintain vendor files
    • Print/mail weekly checks and process weekly ACH
    • Process credit applications
    • Maintain CSL grocery cards
    • Process monthly credit card statements
    • Prepare daily cash deposits
    • Once AP is complete, file, copy, and scan all paperwork
    • Prepare Journal Entries in MIP
    • Support the month-end and year-end closing processes.
  2. Payroll Support
    • Coordinate all payroll functions on a bi-weekly basis through a third-party vendor
    • Prepare manual payroll checks as needed
    • Schedule routine payroll audits, including reconciling taxes and ensuring the completion of all agency tax returns
    • Maintain staff and client Payroll files, including verifying employment for present and past employees
    • Generate payroll and related reports, such as Supplemental Security Income and Social Security Wage reports
    • Initiate direct deposits for staff
    • Process travel reimbursements
    • Process and monitor pension payments, including 403B and 457 benefit payments
    • Reconcile payroll with benefit payments and ensure timely processing
    • Prepare journal entries for taxes, fees, and bulk mailings for entry into MIP, and reconcile Paycom with the general ledger
  3. Audit/Budget  Support:
    • Collect requested data for the external auditors during annual audits
    • Assist in the preparation of the annual budget
  4. Other Duties as assigned

Qualifications

  • Associate degree in Accounting, Finance, or 2-3 years in a related field with data entry experience.
  • Proficiency in accounting and payroll software, MIP, and Paycom preferred.
  • Excellent analytical, organizational, and communication skills.
  • Satisfactory Act 33/34 clearances are required.
  • An understanding of and/or personal connection to disability issues, programs, and health/human services experience is preferred.
