Summary of Position
The TCPC Operations Specialist is responsible for overseeing all departmental systems, ensuring smooth daily operations through report generation and specimen tracking to deliver timely support to clients and maintaining high service standards for all accounts.
Key Job Elements
- Generates and analyzes a variety of daily reports to monitor TAT (turnaround time), manage volume, and support retention strategies, ensuring both departmental efficiency and client satisfaction.
- Supports the TCPC CRM, business systems, TCPC calendar, Sharepoint and E-signature tools.
- Coordinates with external equipment vendors to manage quotes and invoices, ensuring all transactions and communications are accurately documented within the ERP system.
- Monitors digital pathology workflow including client setup and training, competency tracking, invoicing, turnaround time (TAT) monitoring, vacation scheduling notifications, and continuous daily support for external pathologists.
- Distributes monthly quality control records to clients.
- Manages and organizes all client documentation, including contracts, forms and related paperwork, to ensure accurate record-keeping, compliance and easy accessibility.
- Resolves internal TCPC issues with Client Services, Operations and Sales and external issues with customers.
- Handles LabConnect usage monitoring, manages inventory of LabConnect equipment, and troubleshoots and resolves system-related issues to ensure seamless operation and support.
- Prepares and maintains documentation and materials for client CLIA inspections, ensuring all required information is complete, up to date, and compliant with regulatory standards.
- Serves as a liaison to client pathologists by training on our LIS, addressing turnaround time (TAT) and LIS-related issues, providing comprehensive support and generating requested reports to facilitate workflow efficiency.
- Partners with Operations, Sales and Pathology teams to facilitate new client onboarding meetings, ensuring all requirements are in place for account activation and providing ongoing daily monitoring of new accounts to support a smooth start.
- Creates error summaries and timelines for service failures, complaint tickets and OMs (occurrence management root cause analysis) as needed.
- Oversees invoicing approval processes and tracking and conducts monthly audits for invoices related to Medical Directors and TCPC products to ensure accuracy and compliance.
- Participates in all UAT (user acceptance testing).
- Performs daily logistical monitoring for incoming packages, ensuring appropriate protocols are followed in the event of a delay, while also overseeing outbound shipments to confirm that all slides are accurately and timely shipped.

Qualifications
Knowledge/Experience
- High School degree or equivalent required; Bachelor’s degree preferred.
- Minimum 2 years of diagnostics laboratory experience (eg. Lab Assistant, Specimen Handler)
