Job Description

 

The Times is looking for an executive assistant to support one or more masthead editors, ensuring they can operate effectively. As the executive assistant you must also be able to represent these leaders, both internally and externally, in a manner that corresponds to the professional nature of the newsroom departments. This is an important support role for everything operational and administrative. Organization is important, as you will work with newsroom leadership teams across the company and you will report directly to the Deputy Director of Newsroom Operations.

You will enjoy high levels of responsibility and access, and serve as a sounding board to the leaders you support and those who work with them.

This position is based in New York with a hybrid schedule of three days per week in the office, though additional in-office days may be required depending on editors’ needs.

Responsibilities:

  • Provide multiple operational and administrative support through multiple tasks and projects

  • Be a sounding board for the executive, helping them work through everything from the challenges of the day to long-term projects and vision 

  • Prepare presentations and decks that are clear and well designed 

  • Have an ear to the ground in the newsroom and surface both successes and challenges that staff are facing

  • Track priorities and projects for the executive, making sure they are on task

  • Manage a difficult calendar, including vetting and prioritizing meeting requests and coordinating conference calls, interviews, meetings, and complex travel bookings

  • Maintain a high degree of confidentiality on all matters

  • Conduct research, draft memos, and prepare executive for internal meetings

  • Handle a heavy volume of requests from all team members and answer inquiries, resolve problems, and making appropriate referrals

  • Maintain relationships with important contacts of all levels within and outside of the company and act as a liaison 

  • File all expenses for reimbursement on behalf of the executive

  • Planning and on-site coordination of events including town halls, lunches, dinners, and social gatherings

Basic Qualifications:

  • Bachelor’s degree or equivalent years of professional experience

  • Minimum three years of industry experience, providing administrative support for a senior executive

Preferred Qualifications:

  • Newsroom experience

  • Experience with journalism and a commitment to the mission of The New York Times

The annual base pay salary for this role is between $85,000.00 and $95,000.00.
