About the role
We are seeking an experienced and enthusiastic Program Coordinator to assist in the management of our intensive summer research program focused on the structural biology of human pathogens. Our summer program is a 10-week program that offers undergraduate, community college, masters and medical students hands-on research experience, mentoring, and skills development courses in an exciting and collaborative environment. The successful candidate will provide comprehensive administrative support throughout the planning and implementation of the program (across the full calendar year), ensuring the smooth operation of the summer program. This role requires excellent communication skills and the ability to manage multiple tasks and works directly with the Program Manager and Program Director.
Daily Operations
- Administrative support – organize/schedule meetings with admission and selection committee, evaluation team, as help the Program and Lab Manager coordinate events – plan organize activities and seminars; financial administration – assist with budget prep and monitoring of research grants and projects to ensure milestones are reached. Update recruitment materials, including website. Coordinate travel plans for recruitment trips to SACNAS and ABRCMS.
- Assist with the preparation of surveys and evaluations and generating relevant reports at the conclusion of the summer program
- Performs other related duties as assigned.
Key Responsibilities
- Oversee the day-to-day operations of the summer program, ensuring smooth execution of all activities
- Develop and maintain program schedules, including research projects, courses, seminars, and social events
- Coordinate with faculty mentors, guest lecturers, and administrative staff to organize program components before the start of the program
- Manage program budget and expenses, including stipends, supplies, and event costs; arrange housing for students and travel
- Maintain and update the program website and social media accounts beginning the recruitment season which begins in November and ends in February
- Develop promotional materials to showcase program achievements and attract future participants
- Liaise with partner institutions and funding agencies as needed
Qualifications
- Candidates must be legally authorized to work in the U.S. and must not require sponsorship for employment visa status now, or in the future (ex. H1-B, F-1);
- Strong understanding of scientific research processes and academic environments
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
- Outstanding written and verbal communication skills
- Proficiency in Microsoft Office suite and database management
- Experience with budget management and financial reporting, preferred
- Familiarity with structural biology, biochemistry, or related fields is a plus
