Position Summary:
The Event Planner is responsible for the creation, organization, and completion of Events for AdaptHealth including but not limited to: Meetings and trainings for various divisions and Tradeshows. This includes communicating with Leadership about the status of meeting/events/projects and ensuring all projects stay on track and budget and adjusting, if necessary, to meet new requirements. This position would also require onsite support for logistics of larger meetings and remote troubleshooting for additional events. Event Planner must be local to Tampa to attend meetings.
Essential Functions and Job Responsibilities:
- Responsible for Venue Sourcing and management from inception to completion: Contracting, BEO’s, Rooming lists, AV, Misc Vendors
- Finds and works with appropriate vendors and sources to assure quality product/services and budget consciousness.
- Attends Appropriate meetings and networking events to stay informed of new technology, vendors, and venues to increase efficiency.
- Assists in contracting venues and vendors for meetings/events.
- Travels to and works at large events requiring management and onsite support.
- Creates, maintains, and monitors event plans, schedules, and calendars for fulfilling each goal and objective.
- Adjust schedules and targets as needed.
- Serves as a point of contact for departments/ leaders involved in meetings/trainings/projects.
- Reports progress and results as requested by departmental leaders to keep projects aligned with their goals according to the business needs.
- Communicates with Leadership to assure all meetings/projects stay within budget.
- Develops strategies to ensure an effective and efficient execution of projects.
- Completes assigned compliance training and other educational programs as required.
- Maintains compliance with AdaptHealth’s Compliance Program and applicable company policies, procedures, and patient protocols.
- Identify and present creative and innovative product solutions.
- Facilitate communication between all departments involved in a meetings/event as well as providing weekly and monthly feedback to leadership.
- Develops and maintains working knowledge of current HME products and services offered by the company.
- Maintains patient confidentiality and functions within the guidelines of HIPAA.
- Perform other related duties as assigned during and outside of normal business hours as needed.

Education and Experience Requirements:
- Bachelor’s degree or equivalent work experience in business, management, or a related field required.
- Three (3) years of event planning and project management experience
- Valid and unrestricted driver’s license in the state of residence
Physical Demands and Work Environment:
- Work environment will be stressful at times, as overall office activities and work levels fluctuate.
- Must be able to bend, stoop, stretch, stand, and sit for extended periods of time.
- Subject to long periods of sitting and exposure to computer screen.
- Ability to perform repetitive motions of wrists, hands, and/or fingers due to extensive computer use.
- Mental ability to lead others and change processes in a fast-paced work environment.
- Must be able to lift 30 pounds as needed.
- May be exposed to angry or irate customers or patients.
- Must be able to travel as needed.
- Excellent ability to effectively communicate both verbally and written with internal and external customers with the ability to demonstrate empathy, compassion, courtesy, and respect for privacy.
- Physical and mental ability to analyze data, problem solving and critical thinking.
- Requires travel throughout service area and use of personal vehicles.
