About the role

Overview

The Part Time Office Support will support the TRIO Upward Bound Program on the USU Eastern Campus in Price, Utah.

This assistance includes: monitoring and tracking the grant budgets, maintaining records to document compliance with grant objectives, tracking student contact time with grant personnel, planning and scheduling events and travel, ordering supplies, scheduling meetings, creating Excel and maintaining BLUMEN databases of student information, providing support for project reports and Annual Performance Reports (APR) to the Department of Education, taking and preparing minutes of staff meetings, and providing other clerical support as assigned.

Position is a Grant Funded position; continued employment is contingent on funding. (Continuing through 08/2027)

Responsibilities

Office Organization and Management:

  • Perform general office functions such as tracking student visits, scheduling meetings, reserving rooms, preparing and sending correspondence, and making travel arrangements. Provide clerical support to staff and faculty members such as typing, copying and scanning documents. Adjust work schedule to assist staff members with special projects. Reconcile all receipts and other staff expenditures. Attention to detail is also critical.

Grant Maintenance Assistance:

  • Assist the Upward Bound Director by understanding compliance of the grants, developing reports of collected information, gathering and compiling data via Banner, Argos, and BLUMEN databases, assisting with data input and files. Enter and maintain student background data, facility usage data, client services data, etc. in the grants databases to facilitate generation of reports needed to demonstrate achievement of general grant objectives for both grants (i.e. retention, improved GPA, graduation, etc.). Develop reports to assist staff and track and demonstrate participant achievement of specific academic support services as outlined in the grants.

Recruitment/Admission of new TRIO Upward Bound participants:

  • Provide program overview to prospective TRIO Upward Bound participants. Explain eligibility requirements to prospective program participants. Verify eligibility requirements for applicants. Facilitate intake and interview process. Maintain records of participants and eligibility requirements for grant compliance.

Other duties as assigned.

Qualifications

Minimum Qualifications

  • Two years of experience in an office setting; or an associate degree/vocational training in business, administrative support or related; or an equivalent combination of education and experience is required.
  • Proficient in use of Microsoft Office applications such as Word and Excel; Access, Outlook, and budgets.
  • Experience with creating and maintaining files.
  • Exceptional verbal and written communication skills.
  • Self-motivated and ability to effectively and efficiently handle multiple tasks simultaneously.

Preferred Qualifications

  • Higher education or community college experience
  • Three or more years in similar office environment
  • Experience working with federal grant programs
  • Experience working with diverse student populations
  • Bilingual in Spanish

    $15.00 an hour

    This position is primarily based in an office setting but requires occasional travel throughout Carbon, Emery, and Grand Counties to support program activities at local high schools. Physical demands may include lifting and transporting bins or boxes containing program supplies, typically weighing up to 30 pounds. The role may require extended periods of sitting, computer use, and participation in meetings or outreach events.

    Mental demands include managing multiple tasks, adapting to changing student needs, and maintaining effective communication with high school students from diverse backgrounds
