HR Administrative Coordinator

We are seeking a HR Administrative Coordinator who will provide primary administrative support for the Human Resources, Credentialing and Finance functions of the Department of Ophthalmology. This includes but not limited to recordkeeping, running reports, compliance, processing reimbursements and ordering supplies. Assists other HR personnel with payroll functions. Assists HR Manager with special projects. Performs duties of a sensitive and confidential nature.
Specific Duties & Responsibilities
Compliance & Administrative Support
- Coordinates employee files and monitors compliance with regulatory requirements, certifications, training/education, and other assigned areas.
- Monitors compliance with Ophthalmic Technician certification policy.
- Assists staff and supervisors with process to request leave status (ex: FMLA). Creates FMLA packets and tracks faculty FMLA.
- Monitors and supports the HR Manager with employee and faculty work authorization.
- Performs timely and accurate updates to files and/or spreadsheets.
- Monitors for compliance with FMLA, FLSA, EEOC and related regulations.
- Brings concerns to management attention, works with supervisors to insure they are using the appropriate resources and compliant with policy and regulations/law.
- Conducts audits of the E210 system and sends reminders regarding non-submission, missing overtime submission and/or without pay codes.
- Locates and compiles data for reports, as needed.
- Answers telephone, greets visitors
- Coordinates and implements office services such as purchasing, records control, paying invoices and processing reimbursements
- Orders supplies and maintains inventory.
- Confidentially maintains staff department files and insures file compliance with regulatory agencies .
- Runs weekly, monthly and annual reports. Provides summary and reports to leadership.
- May assist with special events and programs.
HR & Payroll
- Initiates overtime ISR’s.
- Processes weekly payroll.
- Serves as backup for other types of ISR’s.
- Runs weekly overtime report and follows up with managers to ensure timely/accurate processing.
- Maintains/updates payroll calendar.
- Scans all documents to Oculus.
- Creates and maintains faculty leave tracker.
- Sends exit surveys to departing staff.
- Assist with materials when needed (make copies, put packets together etc.).
- Performs miscellaneous related duties as assigned.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $18.00 - $33.50 HRLY ($61,620 targeted; Commensurate with experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
