About the role

SUMMARY

This is a federally funded grant position. The administrative assistant will provide administrative support as well as office management and clerical functions for the office. These tasks will require a background in database management and administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Gather data/prepare statistical reports process staff documents.

Maintains student files with the highest regard for organization and confidentiality.

Creates monthly budget reports by reconciling receipts and purchase orders.

Monitoring and maintaining records and ledger of the ETS account.

Process purchase orders.

Maintain office supply inventory.

Audit service/attendance logs.

Assist the Director in compiling information for reports and audits.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE.

High school diploma or GED required. At least 2 years of experience or formal training in secretarial or office management. Experience working in an educational or counseling-related setting is preferred. Experience in accounting/office management. Preference will be given to candidates who have overcome the barriers faced by the students in Talent Search (i.e. socioeconomic disadvantage, lack of educational opportunity).

LANGUAGE SKILLS.

Excellent communication/organizational skills. Ability to read and comprehend instructions, correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to students, faculty, staff and members of the public.

MATHEMATICAL SKILLS.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. General accounting skills preferred.

REASONING ABILITY. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

CERTIFICATES, LICENSES, REGISTRATIONS. None required.

OTHER SKILLS AND ABILITIES. Prefer individuals with background similar to Talent Search students. Working knowledge of office technology including computers, database, spreadsheet software; copiers; fax; email; voice mail; etc. Ability to multi-task yet maintain close attention to detail and timeliness of work production. Ability to maintain the highest level of confidentiality in accordance with the Family Educational Rights and Privacy Act (FERPA). Exceptional communications and organizational skills. Ability to work in a positive, team-oriented manner with a variety of people (students, faculty, staff, administrators, and members of the public), including disgruntled individuals. Ability to work evenings and weekends as needed.
