POSITION SUMMARY:
This position is in the Bureau of Policy & Special Programs, Planning & Support section. This is a full-time position that works closely with the Operations and Management Consultant Manager in implementing administrative functions within the Professionalism Planning and Support section. This position also provides staff support to members of the section, the division, the department, and the criminal justice community which involve communicating directly with both external agencies and FDLE members.
DUTIES & RESPONSIBILITIES:
Specific duties include:
- Managing Professionalism’s main telephone lines by responding to incoming calls and directing inquiries to the appropriate member or the member’s voice mail;
- Scheduling pool vehicle reservations and coordinating release and return of vehicle binders to members requestion pool vehicles via Outlook;
- Arranging for vehicles to be services for preventative maintenance and repairs; and performing vehicle line inspections quarterly;
- Collaborating with management to develop and maintain procedures to assist the administrative office in operating more efficiently and effectively and to ensure compliance with rules and policies;
- Developing a record-keeping system for all property transfers, acquisitions, and surplus;
- Maintaining accurate records as to the location of all Division property;
- Processing all property transfers, new additions, and surplus;
- Performing the annual property inventory with the assistance of an inventory delegate as required; and
- Facilitating the monthly shred activity with appropriate members within the Division’s bureaus.
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to utilize problem solving techniques;
- Ability to work independently;
- Knowledge of correct spelling, punctuation and grammar use;
- Knowledge of the techniques for handling telephone calls in a courteous and efficient manner;
- Ability to independently carry out minor administrative functions and general office duties;
- Ability to operate general office equipment;
- Ability to communicate; and
