The Office of the CTO (Chief Technology Officer) at Microsoft is seeking a highly organized and proactive Executive Business Administrator to join our dynamic and collaborative administrative team.
This role will provide critical support to multiple executives (CVP level) with an emphasis on calendar and schedule management. In addition to executive support, you’ll play a key role in facilitating operational processes and providing team support that will help to achieve success for the Office of the CTO.

This role requires to be on-site at the Microsoft Redmond campus a minimum of three days per work week. Occasional travel to the Silicon Valley Campus may be required.

Responsibilities
In this role, you will serve as a key business enabler by collaborating closely with Corporate Vice Presidents (CVPs), Chiefs of Staff, and cross-functional team members. You will anticipate and remove administrative roadblocks, make timely and informed decisions across the organization, and adapt fluidly to dynamic and evolving business needs - all while identifying opportunities to enhance operations. Success in this role requires agility, trusted attention to detail, independent initiative, and the ability to prioritize under pressure. You'll be comfortable navigating ambiguity, meeting tight deadlines, and driving impact without all variables defined.
Executive Calendar & Travel Management
- Provide strategic calendar and time management with meticulous attention to detail and accuracy
- Seek business context to resolve ambiguity, prioritize meetings, and identify key participants
- Collaborate with stakeholders in decision-making while maintaining confidentiality
- Respect executive scheduling preferences and restrictions; ensure meeting materials and logistics are in place
- Manage end-to-end domestic and international travel, including agendas, logistics, and policy compliance
- Proactively secure necessary documentation such as passports and visas; provide support during travel
- Reconcile expenses promptly and within company policy
Team Management & Support
- Oversee personnel operations including onboarding, offboarding, and PCN/req maintenance
- Ensure accurate organizational reporting and headcount data
- Manage team discretionary budget in partnership with Chief of Staff; track spending and approve expenses
- Facilitate team experience activities and engagement in alignment with leadership
