About the role

ABOUT THIS POSITION

The Director of Corporate Events will lead the strategy, planning, and execution of Waystar’s high-impact events —including flagship experiences such as Waystar True North, incentive programs, Advisory Board meetings, Town Hall gatherings across basecamp locations, executive summits, and other internal programs. This leader will bring creativity, operational excellence, and strong business acumen to create experiences that inspire clients, elevate the brand, and advance business objectives.
They must be an excellent communicator who is able to aggregate information from multiple stakeholders to create a shared marketing vision in support of organizational goals. The right candidate is a self-starter with the ability to toggle between leading the strategy and leading cross-functional teams to bring the strategy to life. The person leading this team should be a team player, with the ability to independently lead projects.

WHAT YOU'LL DO

Strategic Planning & Execution 

  • Develop and execute a multi-year events strategy that aligns with Waystar’s marketing and business priorities. 

  • Proactively plan and manage large-scale events from concept to completion, ensuring seamless coordination across teams and partners. 

  • Establish clear goals, KPIs, and success metrics for each event to measure impact and ROI. 

Leadership + Collaboration 

  • Lead cross-functional collaboration with Marketing, Product, Commercial, and Executive teams to deliver cohesive and high-value experiences. 

  • Maintain transparent, consistent communication with stakeholders and executives throughout the planning process. 

  • Manage external agency and vendor relationships to ensure quality, cost efficiency, and brand alignment. 

Financial Management 

  • Build, manage, and reconcile comprehensive event budgets with precision and transparency. 

  • Negotiate vendor contracts and identify cost-saving opportunities without compromising experience quality. 

  • Provide post-event financial summaries and insights to guide future planning and optimization. 

Brand + Experience Design 

  • Uphold Waystar’s brand standards and storytelling across all event touchpoints by working with the Marketing Teams. 

  • Ensure events reflect Waystar’s values of innovation, simplicity, and partnership. 

  • Continuously enhance the attendee experience through data-driven insights, creative design, and thoughtful personalization in partnership with other Marketing Teams. 

Operational Excellence 

  • Develop repeatable processes, toolkits, and playbooks for event planning and execution. 

  • Ensure all events comply with company policies, legal requirements, and safety protocols. 

  • Anticipate risks, solve problems quickly, and maintain calm under pressure.

WHAT YOU'LL NEED

  • 10+ years of experience in event strategy, production, or experiential marketing (preferably in B2B or technology sectors). 

  • Proven track record leading large-scale conferences, executive summits, and team member experiences. 

  • Strong financial management, negotiation, and vendor oversight skills. 

  • Exceptional communication, organization, and project management abilities. 

  • Strategic thinker with a proactive, solution-oriented mindset.
