Job Description:

The Senior Hospital Supply Coordinator will provide support to the Veterinary Teaching Hospital, Hospital Supply Operations. It is essential that this person has experience with supply distribution and maintaining inventory levels. The employee in this position is responsible for attending to the routine supply needs of internal clients (i.e. Veterinary Teaching Hospital clinical departments, and occasionally research departments throughout the School of Veterinary Medicine).

Job Responsibilities:

55% - Manages the stock of hospital supply inventory by keeping current stock counts, ordering from suppliers as needed/warranted, and restocking to maintain proper inventory levels in accordance with rules, regulations, and policies of the department. Ensure organization and efficiency is maintained by utilizing BarCloud Inventory Software. Proper maintenance and accuracy of inventory may involve physical walk-bys to identify out of stock items as compared to the software data, working with the Operations Manager to coordinate inventory counts according to fiscal year and other demands as needed, and/or selective inventory audits.

20% - Arranges for back stock/overstock supplies to be rotated to maintain a First In First Out (FIFO) inventory system and keep adequate quantities of supplies on hand to prevent interruption in workflow. Works to resolve discrepancies. Successfully receives inventory items and coordinates restock of those items, and submits receipt confirmation to the Business Office in a timely manner. Compiles information from various sources and prepares reports.

10% - Ensures incoming orders (through BarCloud and Cornerstone) are fulfilled by staff as well as walk-in orders. Communicates with VTH departments regarding fulfillment timelines, polices, issues, etc. Maintains integrity of workspace and inventory control by ensuring Hospital Supply staff are the only parties involved with stock except where explicitly discussed. Oversees the delivery of supply orders to VTH departments and Omnicell locations throughout the hospital.

10% - Maintains inventory by conducting quarterly physical counts, reconciling variances, and inputting data. Audits departments for expired goods quarterly and follows disposal protocols. Ensures any heavy equipment used in warehouse operations is properly maintained and user training is complete.

5% - Assists Operations Manager to accomplish warehouse organization mission by completing related tasks as needed (other duties as assigned).

Minimum Qualifications:

Bachelor's degree

Special and Physical Qualifications:

Required to be capable of lifting up to 50 pounds, standing, sitting, walking, bending, reaching above the shoulder, reaching below the shoulder, and pushing/pulling.

Emergency Essential Personnel - This position may be required to report to campus in times of emergency and/or closure per PS-18.

Vehicle Operation - University employees whose principal responsibilities of employment include operating a vehicle, performing maintenance on a vehicle, or supervising any public employee who operates or maintains a vehicle and positions with an expectation to travel will require an MVR and are subject to drug screens per PM-33/PS-67/FASOP HR-04.
