ASRC Federal Facilities Logistics LLC is seeking a Staff Analyst, to support an ATF (Alcohol, Tobacco, and Firearms) contract in Washington, DC. ASRC Federal provides information security, enterprise architecture, software development and health IT solutions to federal government customers. The position will be remote, but will support the Office of Science and Technology (OST) office.
Responsibilities
• Prepares meeting agendas, minutes, notes, action items, slide presentations, and briefings as required. Provides meeting facilitation, record keeping and documentation support to the Change Advisory Board (CAB) and its supplementary Technical Review Board (TRB) managed by the Chief Technology Officer.
• Provides hypertext markup language (HTML) versions of any related documentation for posting on the ATF Portal or ATF.gov web sites.
• Documents and maintains electronic and paper records related to IT-related change requests.
• Prepares presentations with appropriate content and graphics for Brown Bag lunches hosted by the Contracts and Forms Office.
• Provides ad-hoc technical writing and documentation support for various projects as required.
• Prepares diverse program documentation related to ATF’s IT infrastructure that is appropriate for the level of audience and the type of document.
• Creates, edits, formats, and reviews for technical accuracy of all technical writing deliverables or other documentation support (e.g., charts, graphs, and miscellaneous correspondence) as required.
• Schedules meetings, prepares meeting agenda, attends meetings, and assists with facilitation as well as with recording and documenting meeting developments and decisions.
• Listens to meeting recordings and prepares draft and final minutes for multiple forums.
• Navigates and researches the Service Now change request module (CRM) to accurately capture IT-related change requests and their associated tasks and inquiries for inclusions in the CAB and TRB meeting minutes.
• Prepares and edits CAB and TRB spreadsheets containing diverse data e.g., change request or cancelation information, and/or questions and answers generated during meeting deliberation.
• Prepares diverse PowerPoint files containing contract administration and forms-processing information, for presentation to OST and other office staff.
• Assists with the update of any content, charts, table of contents, and general formatting of the OST COR Handbook.
• Prepares and submits weekly reports of all activities performed by the team.
• Provides daily administrative support to assist the Contract and Forms office in the day-to-day contract management and oversight of multiple OST contracts (such as managing spreadsheets for each contract that include personnel, contract modifications, inventory and property cards, security package submissions, in-processing and out-processing activities); and maintains important documentation in the Contracts and Forms shared folder on the ATF network.
• Integrates different document types into single documents (e.g., incorporating spreadsheets, graphs, etc., into text documents).
• Researches, locates and retrieves information from databases or files, and determines from a variety of formats and forms the appropriate documents have been accessed. Establishes and creates spreadsheets to improve contract tracking methods.
• Supports ad-hoc projects, which may consist of research and data collection, process improvement and standardization activities, updates to the Contracts & Forms COR Handbook, preparation of Statements of Objectives, Statements of Work, Performance Work Statements, or Task Statements and other various assignments, as required.
• Prepares requisitions, obtains signatures and submits to the appropriate staff within OST and the Contracting Officer (CO).
• Obtains all back-up documents for requisitions such as emails, contracts, quotes/estimates, and financial reprogramming documents.
• Files and maintains electronic copies of all contracts, awards, task/delivery/purchase orders, BPA calls, and modifications on the Contracts & Forms shared drive under the respective contract folders.
