What Youíll Do
The Office Administrator (Part-Time, On-Site) plays a key role in ensuring the smooth daily operations of the workplace while supporting executive administrative needs. This position provides onsite support for visitors, employees, and office functions, manages essential office processes such as supplies, workspace coordination, and assists with building access, mail distribution, and company vehicle administration. This role is ideal for a highly organized, proactive individual who thrives in a fast-paced environment and enjoys being a central point of contact within the office.
Key Responsibilities
Office Administration

Welcome and assist office visitors, maintaining a professional and inviting environment.

Order and maintain office supplies, ensuring proper stock levels.

Clean and maintain the office coffee machine daily and order milk weekly.

Receive, sort, and distribute daily mail and deliveries; scan mail for employees based in other office locations.

Oversee the companyís shared email inbox, ensuring timely review, response, and/or distribution of inquiries.

Schedule and prepare conference rooms for meetings as needed.

Maintain the office seating chart, prepare workspaces for new employees, and create name tags as needed.

Coordinate holiday office decorations and seasonal office needs.

May need to provide assistance for Chairman and CEO when in the office

Order business cards for the leadership team as needed.

Support special projects as assigned.
Building & Office Access Management

Request, issue, and track access cards for employees.

Manage replacements, deactivate lost cards, and maintain accurate access records.
Company Vehicles Support

Serve as the primary point of contact for company vehicle deliveries to the office.

Act as a key holder for company vehicles based in the Glen Rock, NJ office.

Occasionally distribute vehicle-related documents (registrations, plates, insurance cards).
Essential Skills, Experience & Education Requirements

1ñ3 years of experience in office administration or similar roles.

Strong communication and customer-service skills.
