Systems & Data Analyst

Reporting to the Manager, Donor Services & Grants Management, the Systems & Data Analyst must have a passion for donor service operations, processes, and continuous improvement. The ideal candidate will be team-service oriented, self-directed, and comfortable in a setting where they help to operationalize systems using a variety of data.

The Systems & Data Analyst will implement system improvements to ensure seamless integration of data and information ensuring the integrity of all data related to development, revenue tracking, database management and reporting. They will manage and maintain efficient practices, systems and tools, including but not limited to customizing data, generating accurate reports, and tracking results and trends in data.

Essential Functions of the Position:

  • Database Management:
    • Develop and maintain philanthropic data systems and processes that enable operational excellence and efficiency.
    • Review and confirm accuracy of all grant-related information, updating, as needed, on a routine basis and in batch as programs change or as needed for analyses and special projects.
    • Serve as an expert on the CRM systems within the Donor Services and Grants Management Team, assist in its use, and ensure all appropriate utilization by all staff to help fundraising efforts.
    • Oversee and manage ongoing processes for data hygiene and audits (including Foundant C-Suite, Donor Portal and other research & evaluation tools), including prospecting, identifying donor biographical information and potential duplicate records, as well as coordinating with cross-department teammates ensuring data is current with appropriate data integrity protocols.
    • Provide support in the standardization of philanthropic systems e.g., donor relations, DAF setup, Foundant deployment.
    • Maintain data relating to donor-related events and direct mail campaigns, including producing and tracking reports, mailing and email lists, and donor lists for communications, including detailed segmentation groups based on previous giving and engagement, committees, event invitations, and internal use.
    • Build donor lists for annual solicitations and event invitations.
    • Develop and improve source-based tracking systems for gifts (i.e. campaign tracking), including pulling regular year-to-date (YTD) reports that accurately reflect progress on goals for the Philanthropy and Community Impact teams.
    • In collaboration with IT, create a regular reporting structure and dashboards that allows the retention and acquisition team members to track progress to the goals/KPI’s (with previous year comparisons)

 

  • Reporting, Data Analysis & Communication
    • Conduct analyses of grant data and respond to data and information requests from staff and external constituents, including partner organizations.
    • Serve as a primary point of contact with the Communications department for grant-related data including developing and updating communications on funding practices, developing and maintain the grants section of the website managing the export of grants to the web on a monthly basis and keeping web statistics on grantmaking current.
    • Generate data on grantmaking for board book, along with other custom reports that may be needed to inform the board and senior leadership on fund’s grantmaking activities.
    • Partner with staff on data analysis and reporting as required, including impact assessments and program reviews.
    • Track donor preferences, giving patterns for targeted outreach, grant distribution patterns and other data unique to the donor.
    • Conduct donor segmentation for personalized communication and engagement.

 

  • Operational Excellence
    • Provide support in the development of operational processes and policies identifying operational improvement to create efficiency and effectiveness including partnering with marketing, community impact, IT and finance.
