Purpose

The Development Associate/Specialist provides professional, proactive administrative support to major gift officers and the broader development team. This role focuses on building effective partnerships, managing donor engagement logistics, and supporting fundraising efforts with precision and care.

You’ll help coordinate donor visits, prepare communications and proposals, and collaborate with stewardship and engagement teams to deliver meaningful experiences for our supporters.

Responsibilities

Frontline Gift Officer Support

  • Provide administrative support for fundraising, cultivation, and stewardship activities

  • Coordinate meetings, prepare materials, and manage follow-up communications

  • Draft and track proposals, contact reports, and donor engagement documentation

  • Arrange travel logistics and process expense reimbursements for development officers

               

Communications, Events & Donor Engagement

  • Draft and proofread donor-facing materials including impact reports, presentations, and invitations

  • Assist with planning and executing donor meetings, campus visits, luncheons, and special events

  • Conduct donor research and support individualized stewardship projects

  • Assist with annual stewardship and special initiatives involving planned giving, corporate, and foundation relations

Collaboration & General Support

  • Work collaboratively and professionally with university development staff

  • Support other related functions and duties as assigned

Required Qualifications

  • Bachelor’s degree and one year of administrative support experience (or equivalent combination of education and experience)

  • Experience in fundraising, nonprofit, or complex administrative environments preferred

  • Strong organizational and relationship-building skills

  • Excellent written, verbal, and interpersonal communication

  • Ability to manage multiple tasks under pressure and tight deadlines

  • Experience coordinating schedules, logistics, and correspondence

  • High level of discretion, professionalism, and customer service

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Experience with fundraising databases and donor prospecting tools

  • Prior interaction with alumni, donors, and university administrators 

  • Familiarity with UT Austin systems, policies, and procedures.

  • Proficiency in MS Outlook, Adobe Pro, Smartsheet, Excel (including pivot tables and reporting)
