Position Overview

The Administrative Assistant position is responsible for performing various clerical duties including switchboard operations, greeting all walk-in traffic in the lobby. This position will also require the maintaining of a calm, courteous and professional demeanor for positive company image.

 

Key Responsibilities (Essential Duties and Functions)

  • Receives incoming calls from external and internal sources and routes to the appropriate party, ensuring prompt delivery and takes messages in voice mail system if needed.
  • Greets all walk-in traffic to lobby area and ensures guests are properly identified.
  • Sorts and distributes incoming and outgoing mail for all employees.
  • Assists and organizes office events as needed.
  • Runs credit card charges and makes bank deposits daily.
  • Responsible for maintaining the monthly trip fuel sheet, monthly fuel usage reports and rock tickets.
  • Receives sorts and transmits faxes for all employees, ensuring prompt delivery.
  • Provides support for all departments as needed with the typing of letters, memo, etc.
  • Assists with arranging travel itineraries, hotel rooms, flights, etc. for employees.
  • Responsible for ordering all office supplies and monitoring the expense.
  • Assists with filing, copying and distribution when needed.
  • Serves as the point of contact for the cleaning crew and the maintenance for office equipment.
  • Assists estimators with typing, mailings, lettings and bidding requests.
  • Assists the Safety department with Certificates of Insurance, lockout tag out cards and getting any information to corporate.
  • Regular and predictable attendance at assigned times is required.
  • Other duties as may be assigned.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience

  • High school graduate or General Education Degree (GED) required.  Some college level coursework in Business or related discipline preferred.
  • One year of related work experience in an office environment; receptionist experience preferred.
  • Experience in a construction environment preferred.

 

Work Requirements

  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Must be willing to travel and work away from home when required (travel will be minimal).
  • Must be willing to work nights and weekends when necessary.

 

Knowledge/Skill Requirements

  • Highly effective oral and written communication skills required.
  • Ability to operate office equipment including, but not limited to: computers, copiers, ten key adding machine, printers, etc.
  • Proficiency of MS Excel and Word applications required.
  • Ability to analyze issues independently.
  • Ability to perform under deadline pressure.
  • Ability to understand and follow complex verbal and written instructions.
  • Ability to meet attendance schedule with dependability and consistency.

  • Able to stand, walk, use hands and fingers to manipulate objects, talk and hear.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.
  • The employee is frequently required to sit and use hands.
  • The employee is frequently required to stand and walk for extended periods of time.

 

Work Environment

  • Standard office environment.
  • Tempo is fast-paced with deadlines.
  • The noise level in some areas of the work environment may be moderate.
