We currently have an opportunity for an Assistant Account Manager to join our Commercial Lines Medical Malpractice Unit in our Vero Beach, FL office. 

The selected individual will be responsible for assisting Account Managers and Producers with the administration and servicing of accounts in accordance with the practices, policies, and procedures of the Company.

Job Responsibilities:

  • Actively monitor multiple email accounts throughout the day, communicate with team members regarding incoming email, and complete action on the email based on their content.
  • Attend client calls and document key takeaways and action items for the team.
  • Assist Account Managers and Producers in gathering the necessary information regarding new/existing accounts for proposals.
  • Keep Producer informed of all conference calls, information requests, meetings, and appointments daily.
  • Various duties regarding the management of prospect data, including correspondence with leads, organization of documents received, online research, attaching information in files, tracking data using Microsoft Excel.
  • Update account information and attach documentation in the agency management system as needed. 
  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel in a friendly and professional manner.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Performs other clerical duties as needed, such as typing, filing, photocopying, printing, scanning, etc.
  • Receive, sort, date stamp, and route mail or packages to appropriate personnel.
  • Prepare and send outgoing mail; maintain postage meter and add funds as necessary.
  • Order, receive, and maintain office supplies and marketing materials.
  • Coordinate maintenance of office equipment with vendors.
  • Maintain the cleanliness of the conference room and break room including trash removal.
  • Attend and complete any training sessions or assignments as required.
  • Present a professional image as a representative of the company.
  • Establish and maintain effective professional working relationships with co-workers, and every level of management.
  • Communicate with co-workers, management, clients, and others in a courteous and professional manner.
  • Conform with and abide by all regulations, policies, work procedures, and instructions.
  • Responsible for completing all assigned tasks or projects, as needed.
  • Other job responsibilities as assigned by management.

Qualifications:

  • High School diploma or equivalent.
  • Excellent communication, customer service and problem-solving skills.
  • Demonstrated proficiency with computer systems, including but not limited to Microsoft Office and automated agency management systems.
  • Mastery of virtual technology, including meeting scheduling, video display and screen sharing.
  • Ability to work in a team environment.
