MBA Insurance a division of Brown & Brown is seeking an Administrative Coordinator to join its team in Phoenix, AZ!

Summary:

  • To perform administrative & clerical functions as assistant to Accounting Leader
  • To effectively provide superior service to MBA’s customers while representing MBA in a positive, professional manner
  • To provide accurate information, assist with individual needs, and foster positive relationships with customers of MBA

WHAT YOU’LL DO:

Customer Service:

  • Answer phones.
  • Assist MBA customers with processing and accounts receivables.
  • Communicate and provide accurate accounting (payments, deposits, accounts receivable) information to customers and team members in clear and relatable manner.
  • Provide customers with general information about MBA to include general questions regarding policy, payments, and processing requests.
  • Deliver mail items to the post office when necessary.
  • Other duties as assigned

Accounting:

  • Monitor and manage billing@mbainsurance.net email.
  • Set up and maintain customers in Quick Books, to include initial set-up, payment options, and inactivating at cancellation of policy.
  • Apply customer payments timely and accurately.
  • Batch daily customer check payments.
  • Merchant account reconciliation and data entry.
  • Manage deposits due on an account level.
  • Assist with processing of cancellation notices for non-payment of premiums.
  • Process customer reinstatements timely and accurately.
  • Assist in monthly billing process to include applying credits and debits and ensuring information is accurate.
  • Processing of customer cancellation & suspension requests, to include recording applicable journal entries and refund checks for AL to finalize and issue.
  • Processing of customer non-payment cancellations, to include recording applicable journal entries and refund checks for AL to finalize and issue.
  • General bookkeeping, as required, for example, requests to apply excess deposits to premium and returned premiums.
  • Review and manage customer chargebacks, to include maintaining log of status, following up with customers and ensuring reversal whether through cancellation of addendums or adding to customer billing for payment.
  • Monitor and communicate 90-day outstanding checks to customers, to include stop pay of O/S check and recording when requested for AL to finalize and issue.

WHAT YOU’LL NEED:

Required

  • Minimum education of High School Diploma
  • Proficient with MS Office Suite
  • Exceptional telephone demeanor
  • Ability to maintain a high level of confidentiality
  • 1 – 3 years’ experience in a similar position

Preferred

  • Associate’s or Bachelor’s degree in a business or financial related discipline
