Job Summary

We are seeking a proactive and highly organized Administrative Assistant to provide high-level support in a fast-paced and dynamic environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities efficiently. The ideal candidate will be responsible for complex administrative tasks, extensive calendar management, coordinating travel arrangements, and handling confidential information with professionalism. Key Responsibilities

  • Administrative Management: Handle complex administrative tasks, including international and domestic travel arrangements, timely email correspondence, expense reimbursement, conflict resolution, supply management, travel reimbursement, and purchase requisitions.
  • Calendar Management: Proactively manage extensive calendars, ensuring scheduling efficiency and resolving conflicts while prioritizing key meetings.
  • Communication Management: Serve as the primary point of contact for internal and external stakeholders, managing email communications, phone calls, and in-person interactions with professionalism and responsiveness.
  • Meeting Coordination: Schedule and coordinate large team meetings, ensuring key participants are prioritized, meeting notes are taken, and follow-up actions are tracked.
  • Timecard Management: Oversee and process online timecard submissions for the team.
  • Project Coordination: Organize and execute complex projects, including offsite events, team meetings, sitewide events, and business luncheons/dinners.
  • Presentation & Data Management: Create polished PowerPoint presentations, consolidating input from various sources and ensuring professional formatting. Extract, summarize, and analyze business data for executive-level reporting, frequently utilizing Excel.
  • Guidelines & Policy Support: Act as the central point of contact for team members regarding company guidelines and administrative best practices.
  • Website & Information Management: Maintain internal websites and shared resources, ensuring accuracy and accessibility of important documentation.

 

Required Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
  • 3-5 years of administrative experience supporting executives or leadership teams in a corporate environment.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with meticulous attention to detail and a continuous improvement mindset.
  • Highly motivated, proactive, and resourceful, with a problem-solving attitude.
  • Ability to work independently with minimal supervision while managing multiple priorities.
