WHO WE'RE LOOKING FOR
The Administrative Assistant, Membership & Industry Relations will support the Managing Director, Member Outreach & Systems and the Managing Director, GRAMMY U by playing a key role in the upkeep and maintenance of an extensive member and artist relations database, assisting with all duties related to providing an outstanding GRAMMY U membership experience and providing general administrative support to the accounts & outreach teams as needed. You will report to and provide general administrative support to the two Managing Directors but will also serve as a companywide resource and expert on all things membership related.
WHAT YOU'LL DO
GRAMMY U
- Maintain GRAMMY U application queue and provide customer service for all GRAMMY U members.
- Work with Membership & Operations Manager and Managing Director to support Membership goals nationwide.
- Regularly meet with GRAMMY U Representatives to discuss Chapter membership strategy and review data.
- Work with GRAMMY U Representatives & Membership & Operations Manager to put together membership presentations, orientation docs, and templates.
- Work with GRAMMY U National Representatives on projects and membership initiatives.
- Export Membership stats and analytics regularly.
- Assist on Membership research projects and databases.
- Assist with compiling membership and program stats for presentations.
- Work with Managing Director on Campus Ambassador training and opportunities.
- Support GRAMMY U Social Media Committee and oversee LinkedIn/Discord Member approvals.
- Confirm membership for mentorship program and program RSVPs.
- National Programming support as needed.
- Execute other duties necessary to provide an outstanding GRAMMY U membership experience, including regular follow-up with GRAMMY U Representatives.
MEMBERSHIP ACCOUNTS
- Work as a secondary point of contact for customer service including managing voicemails and general membership inbox.
- Work closely with the member accounts team and database technical team to assist in the management of the member accounts database and troubleshooting account issues.
- Assist member accounts and Chapter outreach teams as needed with verification of career materials for renewing members and new candidates, tracking of national outreach strategies, general customer service work, and more.
- Extensive research and organization of databases.
- Assist with the creation of membership plans and presentations both externally and internally.
- Assist with national festival and conference activations to support partnership revenue initiatives.
- Build and manage RSVP platforms and registration systems for events.
- Oversee guest list management and attendee communications.
- Assist with the processing of panelist contracts and speaker agreements.
SHARED RESPONSIBILITIES
- Provide general administrative support to the two Managing Directors, including assistance with appointments, calls, calendars, expense reports, corporate card statements, and travel.
SKILLS & EXPERIENCE
- Bachelor’s Degree preferred in Information Systems, Business Administration or related fields.
- 2+ years of executive level administrative experience.
- Information systems experience, preferably with Microsoft database products and non-profit or membership data.
- Strong proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint). Experience in Salesforce a plus.
- Experience working with sensitive and confidential data with a proven level of discretion.
- Excellent customer service skills including interpersonal, written and verbal communication, and presentation skills with special emphasis on compassionate listening and problem solving.

SALARY AND BENEFITS
The starting rate for this position is between $21.05 to $22.73 per hour, benchmarked against industry standards. Rates for positions required to be in specific geographic locations reflect the corresponding labor market.
